1. Introduction.
In your Cool Tabs campaigns, you can enable a section to include your legal bases, the document where you outline the terms and conditions governing your sweepstakes, contests, or promotions.
The platform is compliant with European data protection regulations (GDPR), ensuring the proper collection, storage, management, and processing of personal data.
When setting up your campaign, you can:
-
Include terms and conditions along with your privacy policy.
-
Add additional checkboxes to obtain explicit user consent for various purposes (e.g., newsletter subscription, commercial communications, data sharing with third parties, social profiling).
2. Step by step.
2.1. How to configure the legal bases.
Go to Legal Terms > General Settings within your campaign editor.
You have two ways to include them:
-
As visible text directly in the campaign.
-
As a downloadable file (PDF or Word).
2.1.1. Legal terms in text mode.
Enable the option 'Add your legal bases'. Copy and paste your text.
2.1.2. Legal terms as a downloadable file.
You also have the option to display the campaign terms and conditions as a file, which the user can download.
Enable the options 'Add your terms and conditions' and 'Use a file (PDF/Word) downloadable by participants to store the legal conditions'.
Attach a PDF or Word file.
2.2. Other configurations of the legal terms.
2.2.1. Legal text field customization.
-
You can customize the acceptance checkbox text.
-
By default, it shows: “I accept the terms and conditions”.
-
It is recommended to indicate the purpose of data processing.
2.2.2. Access to the legal terms.
Participants will always have access to the legal terms text on the data form screen.
In addition, they can also be displayed on the landing page. You only have to check the option 'Display link to legal terms in the landing page'.
Please note that this option is not supported if the terms and conditions are attached as a downloadable file.
2.2.3. Mandatory reading of the legal bases.
-
Acceptance is mandatory to participate.
-
You can enable “The user should read the legal terms before being able to mark them as checked” so participants must read the content before checking the box.
2.2.4. Additional text of conditions.
Allows adding a brief text to inform:
-
-
Who is responsible for data processing.
-
The purpose of processing.
-
How to exercise ARCO-P rights (access, rectification, cancellation, deletion, and portability).
-
By default, this text appears above the checkboxes and submit button, but you can configure it to appear below.
Below, you can see an example of how this text would be displayed in the registration form.
2.3. Additional checkboxes.
-
Each purpose of data processing must have its own checkbox to comply with GDPR.
-
You can use predefined opt-ins or create your own (e.g., commercial communications, third-party data sharing).
2.3.1. Grouping legal options.
In Legal Bases > Advanced, you can nest and group checkboxes, organizing multiple legal purposes under a single block.
Key behaviors:
-
Visible by default: nested checkboxes are shown without clicking to expand.
-
“View more/View less” text: optional instead of an expand/collapse icon.
-
Global checkbox: when marked, all nested checkboxes are automatically displayed so participants can review what is selected.
Below, you can see an example of how it would be displayed.
