1. Introduction
In your Cool Tabs campaigns, you can enable a section to include your legal bases: the document that sets out the terms and conditions governing your sweepstakes, contests, or promotions.
The platform complies with European data protection regulations (GDPR), ensuring the proper collection, storage, management, and processing of personal data.
When setting up your campaign, you can:
Include terms and conditions along with your privacy policy.
Add additional checkboxes to obtain explicit user consent for different purposes (e.g., newsletter subscription, commercial communications, data sharing with third parties, social profiling).
2. Step by Step
2.1. How to configure the legal terms
Go to Legal Bases > General Settings within your campaign editor.
You have two ways to include them:
As visible text directly in the campaign.
As a downloadable file (PDF or Word).
2.1.1. Legal bases as text
Enable the option "Add your legal terms".
Copy and paste your text.
2.1.2. Legal bases as a downloadable file
You also have the option to display the campaign's terms and conditions as a file the user can download.
Enable the options "Add your legal terms" and "Use a file (PDF/Word) downloadable by the user".
Attach your document in PDF or Word format.
2.2. Other legal bases settings
2.2.1. Legal text field customization
You can customize the text of the acceptance checkbox.
If you don't edit it, it will show by default: "I accept the terms and conditions".
We recommend customizing it to specify the purpose of the data processing.
2.2.2. Access to the legal bases
The legal bases will always be shown to the participant on the registration form screen. You can also enable the option "Display legal bases link on the landing page".
Keep in mind that this option isn't available if the legal bases are included as a downloadable file.
2.2.3. Mandatory reading of the legal bases
Accepting the legal bases is always mandatory to participate.
You can also require participants to view the text before accepting it. To do so, enable the option "Mandatory to view the legal bases before accepting them".
2.2.4. Additional conditions text
You can display a short text on the form. This option is especially useful to:
State who is responsible for the data processing.
Inform users of the purpose of the processing.
Explain how to exercise ARCO-P rights (access, rectification, cancellation, deletion, and portability).
By default, this text appears above the checkboxes and the submit button. You can enable the check for it to appear below them instead.
2.3. Additional checkboxes
To comply with GDPR, each data processing purpose must have its own checkbox.
You can enable the platform's predefined opt-ins.
Or create your own, based on your needs (e.g., commercial communications, data sharing with third parties, etc.).
2.3.1. Grouping legal options
Under Legal Bases > Advanced, you can enable the option to nest and group different checkboxes configured in the general section.
This feature lets you organize several legal purposes under a single block, simplifying multiple legal acceptances while keeping things transparent and clear for the user.
Key settings and behaviors:
Checks visible by default: nested checkboxes are shown directly, with no need to click to expand.
"View more/View less" text: instead of an expand/collapse icon, you can use text that tells the user when to expand or collapse the block.
Global checkbox: checking the main (global) checkbox automatically displays all nested checkboxes, so the participant can review which options are selected.
Below, you can see an example of how this would be displayed.
3. Other Specifications
Explicit consent also applies to the use of cookies and tracking technologies.
In Cool Tabs, you can:
Add a cookie and tracking consent popup.
Set up a cookie manager that informs participants about their use and collects their explicit consent.
