2.8. How to contact the winners.
1. Introduction.
Cool Tabs applications allow you to select winners and alternates, manually or randomly, both among the participants of sweepstakes or campaigns and among the voters.
In addition, you can apply filters to ensure that users who enter the sweepstakes meet the conditions of participation.
When the winners are selected, a URL to the winners' page is generated, together with a certificate of validity, which proves that the process has been carried out in a 100% transparent way. It indicates the date and time of the drawing and the names of the winners.
2. Step by step.
2.1. How to select winners.
If you have already created the campaign or sweepstakes, from the main list of your campaigns, click on the 'Leads' section of the campaign or sweepstakes in which you want to select winners.
Then, in the left sidebar, click on the 'Winners' section.
You will find that you can select the competition winner or winners either manually or randomly.
In addition, if you have configured a voting contest, there will be a third option: a random draw among all voters.
2.1.1. Manual selection.
The manual selection is only available for Cool Promo and Cool Promo White Label campaigns, included in the Gold and Diamond plans, respectively.
This option is the most suitable for drawings in the presence of a notary.
Also in those sweepstakes where winners and alternates are decided based on creativity or originality criteria.
The manual selection allows you to manually include the winner's email address and generate the winners page, with the certificate of validity.
To perform the manual selection, enter the winners' and alternates' e-mail addresses in the corresponding field. Add a title to be displayed on the winners page and click 'Save winners'.
2.1.2. Random selection among participants.
There are two possibilities within this option.
They are for the random draw to effectively be between all the participants, or for a series of filters to be applied so that only those participants who fulfill a series of conditions can be part of the draw.
Down below, are the filters you can apply.
2.2. How to filter by conditions.
It is possible to choose one or several groups of winners, filtering by certain conditions. Some filters may not apply to your sweepstakes. Leave empty those you do not want to use.
Filter by dates
Indicate the dates on which the participant should be counted.
- Start date
- End date
Choose among the TOP participants
- Choose winners among the N participants with the most total points
- Choose winners from among the N participants with the most referrals
- Choose winners from the N participants with the fastest N participants
Filter by conditions
Please note that, depending on the type of campaign you have created (personality quiz, quiz for points, photo contest...), different filters will appear.
- Quiz result category: if you have created a quiz or a personality test based on categories, fill in this field with the category (A, B, C, D...) from which you want to choose the winner. Remember that you also have the option of choosing several groups of winners, and you will be able to repeat the selection with the participants who have obtained another category.
- The number of maximum and minimum points that the participants had to score.
- The number of referrals: establishes the number of referrals the users had to get to be winners.
- Add users with email: the above conditions must also be met. Manually include the email of the users you want to enter the sweepstakes to be winners.
Filter by social network
You can also select winners by filtering according to the social networks with which users have registered to participate.
Other filters
- Exclude winners from previous campaigns
- Exclude participants with an IP address included in the list of previous winners IP addresses
- Exclude users from the blacklist by emails
- Exclude participants with an IP address included in your IP blacklist
Once you have selected the filter or filters applicable to your competition, click on 'Step 1: Filter' to apply the filters and obtain the final list of participants.
Finally, indicate the number of winners and alternates that you want the tool to draw and click on the button 'Step 2: Launch sweepstake'.
2.3. Random selection among all voters.
This option is available for Cool Promo and Cool Promo White Label campaigns, included in the Gold and Diamond plans, respectively.
It is used in campaigns where users had to vote, such as photo, video, or text contests.
To select a winner among the voters of your campaign, indicate the number of winners and alternates you wish to obtain and then click on 'Launch sweepstake'.
2.4. Remove a winner from the list of winners.
Once the winner or winners have been selected, there is the possibility (only available through the Gold One or upper plan) to remove a winner from the list of winners. This is very useful if, after having randomly selected a winner, we access the profile through which they have participated and see that are a so-called "contest expert".
To delete a winner from the list of winners, click on the icon (x), which appears to the right of the winner's name. You will remove that participant from the list of winners, and we will include the alternate, in case you have set up alternates when selecting the winner(s). In the same way, you can remove an alternate from the list.
2.5. Repeat the selection.
It is possible to delete the winners and alternates, to repeat the process again. Just click on the red button 'Remove winners and reset winner selection', which appears below the winner.
2.6. Winners page and Certificate of Validity.
When you complete the selection, a URL is generated with the result of the sweepstakes, which includes the certificate of validity. That link is the one you must publish to make public who the winner is.
Make sure that the winners page is in public mode, otherwise, it will not be shown.
2.7. Winners video.
You also have the possibility to generate a video with the result of your sweepstakes, showing the title of the sweepstakes, the prizes, and the winners/substitutes.
This video can be published via URL or downloaded in different formats, to be published in the feed or in Stories.
For more information, see the tutorial Winners video: how to show the result of your sweepstakes.
2.8. How to contact the winners.
After the winner selection, you will need to contact the winners to inform them of the result of the sweepstakes so that they can claim and/or manage the delivery of the prize.
See the tutorial on How to contact the winners of your sweepstakes.
