1. Introduction.
Our Social Listening & Analytics tool for Instagram, allows you to monitor a hashtag and obtain a report with the following data:
- The number of publications per day, hashtag, and most used words.
- Ranking of posts with more engagement.
- Likes, comments, and publications per day.
Please, keep in mind that due to limitations imposed by the Facebook API, we will only be able to collect content with a hashtag from the last 24 hours since the creation of the monitoring.
The use of the Social Listening & Analytics tool is available in all our plans.
It is also possible to use it during the 7-day free trial period. This allows you to try any of the platform's plans for free and without limitations.
1.1. Limitations of the Instagram API.
Before explaining how to monitor a hashtag on Instagram, you should take into account several limitations that have been established by the Instagram API. In the last few years, Facebook has made modifications to its API, which limited access to some data in Instagram monitoring.
1) For privacy reasons, it is not possible to obtain information from private profiles, only data from public profiles. For example, it can happen that Instagram shows us that there are 300 posts with the same hashtag and Cool Tabs only shows you 250. This is because the remaining 50 have a private profile, and we cannot access that information.
2) The API only returns multimedia content published within 24 hours from the execution of the query. It is not possible to collect any publications prior to this period.
This means that you will only be able to get content from a hashtag older than 24 hours. So, if you create a hashtag monitoring on Instagram today, we will not be able to collect content from a week ago.
That's why it's important to create the monitoring in time so as not to miss content. From the moment you create your monitoring, you will get information from the previous 24 hours onwards.
3) Only administrators who have an Instagram account associated with Facebook Business can create monitoring.
4) It is not possible to obtain the user ID. Therefore, the data collection of participants will not reflect unique users. Although the user's username does not appear, a URL to the publication is obtained. This way, you will be able to access their profile and contact the winner.
5) You only get content from photos (also photo carousels) and videos that are public (including Reels).
2. Step by step.
2.1. Create your monitoring.
1) Log in to your Cool Tabs account. If you are not registered yet, you can check the tutorial: How to create an account on Cool Tabs.
2) Go to the "Monitoring" section.
3) Click on the "Instagram Hashtag" button.
4) If this is the first time you create a monitoring in Cool Tabs, you must associate a Facebook profile because access to your Instagram accounts is made through the Facebook Business Manager account. It is necessary to associate the Facebook account and accept permissions.
Click the 'Connect' button.

5) Once associated, continue with the monitoring configuration. You have to:
- Write the hashtag you want to monitor.
- Set a start and end date for the analysis. Remember that the API only allows access to the last 24 hours of posts available for a hashtag.
- Choose an Instagram profile to associate with the monitoring. This profile does not influence the data obtained, but Facebook requires associating a profile when searching for information by hashtag.
2.2. Statistics and data.
Once the data is collected, the analysis of the monitored hashtag will be displayed.
When you monitor an Instagram hashtag, you get the following information:
- The number of posts per day
- Most used hashtags
- Most used words
- Ranking of the posts with the most engagement. At Cool Tabs, we calculate engagement by giving a score of 10 per comment and 1 point for each like. This is our own weighting based on the effort made by the user to perform one or another action.
- Likes, comments and posts per day
- Average daily engagement
- Hashtags with the most engagement
- Likes and comments per day of the week
In addition, from the left sidebar, in the 'Photo Manager' section, you will have access to statistics and data on engagement and photos. You will be able to filter by search terms, by date, exclude users or establish that only the posts of the user or users you indicate are included.
You can also download the report in PDF, Excel or get a public link to the report, so you can publish it in any online media.
2.3. How to edit the monitoring.
To edit your monitoring (time zone, include some content...), go to the main list of your monitoring and click on the 'Edit' icon of your monitoring. If it is not your own profile, you will not be able to edit it.
2.4. How to access your monitoring.
You can access to review your monitoring data, whenever you want, from the main list of your monitoring.
To view the monitoring analysis, click on the 'View' icon, as shown in the following image.
2.5. How to run a Hashtag Sweepstake on Instagram.
